1. About this policy and who we are

This Privacy Policy explains how VITA VIBE Agency Pte. Ltd. ("VITA VIBE", "we", "us" or "our") handles personal data collected through this website. We are a public relations, marketing and brand consultancy registered in Singapore, and we are committed to handling your personal data in line with the Personal Data Protection Act 2012 (the "PDPA").

2. What personal data we collect

We keep data collection to a minimum. We only collect what we genuinely need.

Enquiry and contact form data. When you fill in our contact form or email us, we collect the details you choose to give us. Typically that's your name, your email address and the content of your message. If you include other information in your message, such as your company name or phone number, we'll hold that too.

Website and server technical data. Like most websites, our hosting infrastructure automatically records limited technical information when you visit. This can include your IP address, browser type, device type, the pages you view, and the date and time of your visit. This data is used to keep the site secure and working properly.

We don't knowingly collect personal data from children, and we don't collect sensitive personal data unless you volunteer it in a message to us.

3. How we use it and our purposes

We use your personal data for these purposes:

  • To respond to your enquiry and correspond with you.
  • To provide, quote for and deliver the services you ask about.
  • To manage our working relationship with you as a client or prospective client.
  • To operate, secure and improve our website.

When you send us an enquiry, you consent to us collecting and using the personal data in that enquiry for the purposes set out above. In some cases we may rely on other legal bases permitted under the PDPA, such as the legitimate interests of our business, where consent isn't required.

You can withdraw your consent at any time by emailing us at info@vitavibe.com. We'll process your request within a reasonable time and let you know the likely consequences, for example that we may no longer be able to respond to your enquiry or provide a service. Withdrawing consent doesn't affect anything we did lawfully before you withdrew it.

We have appointed a Data Protection Officer who is responsible for overseeing how we handle personal data and for dealing with your questions and requests under the PDPA.

6. Disclosure and third parties

We don't sell, rent or trade your personal data. We don't share it for anyone else's marketing.

We may share limited data with trusted service providers who help us run our business, for example our website hosting and IT providers. These providers act on our instructions, only get the data they need to do their job, and are required to keep it secure and confidential.

We may also disclose personal data where we're required to by law, by a court, or by a regulator, or where it's necessary to protect our rights, safety or property.

7. Cookies and tracking

This website does not use tracking or advertising cookies, and we don't embed third-party trackers, analytics pixels or social media trackers. Because we don't set non-essential cookies, we don't show a cookie consent banner.

Any strictly necessary technical data handled by our hosting infrastructure exists only to serve the pages and keep the site secure, as described in section 2.

8. Protection and retention

We make reasonable security arrangements to protect personal data in our care against loss, misuse and unauthorised access, disclosure or alteration. That includes access controls and working with reputable hosting providers.

We keep personal data only for as long as we need it for the purposes above, or for as long as we're legally required to keep it, for example to meet tax and accounting rules. When we no longer need it, we take reasonable steps to delete it or make it anonymous.

9. Access and correction rights

Under the PDPA, you have the right to ask us for a copy of the personal data we hold about you and information on how we've used it, and to ask us to correct anything that's inaccurate or out of date.

To make a request, email us at info@vitavibe.com. We may need to verify your identity first. We'll respond as soon as we reasonably can. A reasonable fee may apply to an access request, and we'll tell you about any fee before we proceed. In limited situations allowed by law we may not be able to fulfil a request in full, and if so we'll explain why.

10. Overseas transfer of data

Your personal data is generally handled in Singapore. Some of our service providers, such as hosting providers, may store or process data on servers located outside Singapore. Where personal data is transferred overseas, we take reasonable steps to ensure it receives a standard of protection comparable to that under the PDPA, for example through contractual commitments with those providers.

If you have a concern about how we've handled your personal data, please contact our Data Protection Officer first at info@vitavibe.com. We take complaints seriously and will do our best to put things right.

If you're not satisfied with our response, you have the right to raise the matter with the Personal Data Protection Commission (PDPC) in Singapore, the authority that oversees the PDPA.

12. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or the law. When we do, we'll revise the "Last updated" date at the top of this page. Please check back occasionally. If we make a significant change, we'll take reasonable steps to highlight it.
